# Linnworks

> Connect Linnworks to Redo to book RMAs automatically and process returns once your warehouse actions them

export const integrationProvider_0 = "Linnworks"

## What is Linnworks?

Linnworks is a commerce operations platform that manages orders, inventory, and warehouse fulfillment across sales channels. Redo's Linnworks integration books an RMA in Linnworks for each return and processes the return in Redo once your warehouse actions the RMA. Linnworks restocks the items; Redo issues the refund, store credit, or exchange.

## What Does the Integration Do?

When a return is created in Redo (or approved, if it needs review), the integration books an **RMA** in Linnworks against the original order, populated with:

* **Return items only**, matched to the Linnworks order lines by SKU. Items the customer keeps (green returns) are left off.
* **Location** (and bin, for warehouse-managed locations), from your mapping for the Redo location the return ships to, or your default returns location.
* **Refund amount of 0**, because Redo issues the refund.
* **Return ID** as the external reference, so a retry never books a second RMA.

For exchanges, Redo creates the replacement order in Shopify, not in Linnworks, and adds a note on the RMA.

Linnworks does not send webhooks. Redo checks Linnworks **every 15 minutes** for RMAs your warehouse has actioned. When an RMA is actioned, Linnworks adds the stock to the RMA's location (and bin, for warehouse-managed locations), and Redo **automatically processes** the actioned items without restocking them again.

### Other RMA Changes

* **Return reset or rejected in Redo**: an RMA that hasn't been actioned is deleted in Linnworks. An actioned one gets a note to reverse it in Linnworks.
* **RMA removed in Linnworks**: the return is flagged in Redo for your team to review.
* **In-store returns**: the RMA is booked and actioned at once, using the mapping for the store's shop.

## How to Set It Up

### Prerequisites

Before you begin, make sure you have:

<AccordionGroup>
  <Accordion title="Active Linnworks Account" icon="circle-check">
    You need a Linnworks account with permission to install apps.
  </Accordion>

  <Accordion title="Orders Flow Through Shopify" icon="arrows-rotate">
    Your Shopify orders must come into Linnworks through the Linnworks Shopify channel, so Redo can find the original order by its Shopify order name or ID.
  </Accordion>

  <Accordion title="Linnworks Updates Shopify Stock" icon="boxes-stacked">
    Linnworks should push stock levels to Shopify. Redo leaves restocking to Linnworks.
  </Accordion>

  <Accordion title="Returns Locations" icon="warehouse">
    Set up the Linnworks locations (and bins, for WMS locations) where returned items should go. Standard (non-WMS) locations only track stock by bin for batch-tracked items, so to keep returns apart from sellable stock there, use a separate returns location.
  </Accordion>
</AccordionGroup>

### Configuration Steps

<Steps>
  <Step title="Navigate to Integrations">
    Go to **Settings** → **Integrations** and open **Linnworks**.
  </Step>

  <Step title="Connect Linnworks">
    On the **Returns** row, click **Connect**. A Linnworks tab opens. Click **Install** to add the Redo app to your Linnworks account. Linnworks may label the app "not verified"; you can still install it. The tab closes and Redo shows Linnworks as connected.
  </Step>

  <Step title="Set Up Locations">
    Click **Set up** on the Returns row and choose:

    * **Default returns location**, used when no mapping applies, plus a returns bin if it's a warehouse-managed (WMS) location
    * **Location mappings** (optional), a Linnworks location (and bin, for WMS locations) for each Redo location

    In-store returns must have a mapping for their shop; they never use the default.
  </Step>

  <Step title="Turn On Skip Ecommerce Provider Restock">
    Go to **Settings** → **Returns** → **Automation** → **Inventory** → **Advanced** and turn on **Skip ecommerce provider restock**, so returns processed by hand or in store don't also restock Shopify.
  </Step>

  <Step title="Turn On Returns">
    Turn on **Create RMAs in Linnworks** and **Process returns when actioned**, then click **Save**.
  </Step>

  <Step title="Test the Integration">
    Create a test return to verify it works end-to-end:

    1. Create a return in Redo for an order that is in Linnworks
    2. In Linnworks, open **Orders** → **Returns & refunds** → **RMA bookings** and check the RMA has the right items and location
    3. Action the RMA in Linnworks
    4. Within 15 minutes, Redo processes the return
  </Step>
</Steps>

<Note>
  Linnworks does not send webhooks to Redo. **Returns are processed by Redo's 15-minute check**, so expect up to 15 minutes between your warehouse actioning an RMA and Redo processing the return.
</Note>

## How Long Does It Take?

### Setup Timeline

| Step | Time | Description |
| - | - | - |
| Connect Linnworks | 2-5 minutes | Install the Redo app in Linnworks |
| Set Up Locations | 5-10 minutes | Choose the default location, and map locations |
| First Return Test | 10-15 minutes | Create a return, action the RMA, and wait for the check |
| **Total Setup** | **Under 1 hour** | Plus up to 15 minutes for the first return to process |

### Operational Timing

<Steps>
  <Step title="RMA Booking">
    **Real-time (1-3 seconds)** after the return is created or approved in Redo.
  </Step>

  <Step title="Return Processing">
    **Up to 15 minutes** after your warehouse actions the RMA in Linnworks.
  </Step>

  <Step title="Warehouse Processing">
    **Varies by warehouse**, from package arrival to actioning the RMA in Linnworks.
  </Step>
</Steps>

## Important Considerations

<Warning>
  **One Linnworks account per store:** Linnworks Order management and Returns share one connection. To switch accounts, turn off both **Order management** and **Returns**, click **Disconnect**, then connect the new account. Disconnecting deletes your Linnworks settings, so connecting again starts a new setup.
</Warning>

<Warning>
  **Edit short deliveries before actioning:** an RMA can only be actioned as a whole. If items are missing from the package, remove them from the RMA in Linnworks before actioning it, so Redo doesn't process them.
</Warning>

<Info>
  Orders that reach Linnworks directly from another channel, such as eBay, rather than through Shopify can't currently be matched to a Redo return.
</Info>

## Troubleshooting

RMA booking failures show on the return in Redo with one of these messages.

<AccordionGroup>
  <Accordion title="Linnworks Order Not Found">
    Redo couldn't find a Linnworks order matching the Shopify order. Redo matches the Shopify order name (with and without `#`) or the Shopify order ID against the order's Reference Number and Secondary Reference.

    **Solution:**

    * Confirm the order exists in Linnworks
    * Confirm it came in through the Linnworks Shopify channel
    * Wait for order sync to finish if the order is new, then retry
  </Accordion>

  <Accordion title="Linnworks Order Ambiguous">
    More than one Linnworks order matches the Shopify order, for example after the order was split.

    **Solution:**

    * Book the RMA manually in Linnworks against the right order
  </Accordion>

  <Accordion title="SKU Not Found or Ambiguous">
    A returned product's SKU isn't on the Linnworks order, or appears on several lines.

    **Solution:**

    * Check the SKU in Shopify matches the SKU on the Linnworks order exactly
    * Check no SKU changed after the order was placed
  </Accordion>

  <Accordion title="Location Not Mapped">
    No location mapping or default applies to the return. In-store returns need a mapping for their shop.

    **Solution:**

    * Set a default returns location, or add a mapping for the location, in Linnworks **Set up**
  </Accordion>

  <Accordion title="RMA Rejected by Linnworks">
    Linnworks refused the booking.

    **Solution:**

    * Check the order and items in Linnworks, then retry
    * Contact Redo support with the return ID if it keeps failing
  </Accordion>

  <Accordion title="Connection Fails: Different Linnworks Account">
    Your Redo store is already connected to a different Linnworks account.

    **Solution:**

    * Turn off **Order management** and **Returns**, click **Disconnect**, then connect the new account
  </Accordion>
</AccordionGroup>
